At FCAD, we take the privacy and security of our players and their families seriously. This Privacy Policy explains what information we collect, why we need it, how we use it and how we keep it safe.
By registering your child for an FCAD session through ClassForKids, you acknowledge that you have read and understood this Privacy Policy.
1. Information We Collect
When you register with FCAD, we may collect:
* Parent or guardian name
* Child’s name and age/date of birth
* Email address
* Telephone/WhatsApp number
* Emergency contact details
* Relevant medical, allergy, additional needs or accessibility information
* Session attendance and booking information
* Payment and subscription information
* Communication preferences
We only request information that is reasonably necessary to provide our coaching services safely and effectively.
2. How We Use Your Information
We may use your information to:
* Register and manage your child’s place at FCAD
* Manage bookings, subscriptions and payments
* Contact you regarding sessions, cancellations or timetable changes
* Maintain attendance and emergency contact records
* Help our coaches provide a safe and appropriate environment
* Respond appropriately to medical or emergency situations
* Manage waiting lists and available spaces
* Maintain records necessary for the operation of FCAD
* Inform you about relevant FCAD sessions, camps and tournaments where permitted
We will never sell your personal information to third parties.
3. ClassForKids and Payment Providers
FCAD uses ClassForKids to manage registrations, bookings, subscriptions and related administration.
Information entered through ClassForKids may therefore be processed and stored by ClassForKids in accordance with their own privacy and security policies.
Payments may also be processed through third-party payment providers such as Stripe. FCAD does not normally receive or store your full debit or credit card details.
4. WhatsApp and Communications
FCAD may use the contact details provided to communicate important information regarding your child’s sessions.
We may also use WhatsApp groups or communities for session information and announcements.
Parents should be aware that participation in certain WhatsApp groups may make their telephone number or profile information visible to other participants depending on WhatsApp’s settings.
5. Medical and Additional Needs Information
Parents/guardians are responsible for providing FCAD with relevant information that our coaches reasonably need to know to keep their child safe while participating.
Medical, disability and additional-needs information will be treated with particular care and only made available to coaches or staff where reasonably necessary.
Please inform FCAD if any important information changes.
6. Who We Share Information With
Where reasonably necessary, information may be shared with:
* FCAD coaches and authorised staff
* ClassForKids and other service providers used to operate our booking system
* Payment processors
* Insurers or professional advisers where necessary
* Emergency services where required to protect someone’s health or safety
* Authorities where we are legally required to provide information
FCAD will not sell or rent parent or player information for third-party marketing.
7. How Long We Keep Information
We keep personal information only for as long as reasonably necessary, including where records need to be retained for legal, safeguarding, insurance, accounting or regulatory purposes.
When information is no longer required, it will be securely deleted or anonymised where appropriate.
8. Keeping Information Secure
FCAD takes reasonable steps to protect personal information against loss, misuse, unauthorised access or disclosure.
Access to personal information is limited to people who reasonably need it to carry out their role with FCAD.
9. Your Rights
Under UK data protection law, you may have the right to:
* Ask what personal information we hold about you or your child
* Request a copy of that information
* Ask us to correct inaccurate information
* Request deletion in certain circumstances
* Object to or restrict certain uses of your information
* Withdraw consent where we rely upon consent
Certain information may need to be retained where FCAD has a legal, safeguarding or legitimate reason for doing so.
10. Membership Cancellation & One-Month Notice
FCAD memberships operate on a recurring monthly payment basis.
If you wish to cancel your child’s place, one full month’s notice must be provided to FCAD.
Once notice is given, one final monthly payment will be taken during the notice period, and your child may continue attending their normal FCAD sessions throughout that paid period.
This notice period allows FCAD sufficient time to manage coaching numbers, staffing and offer the place to another player.
Failure to attend sessions during the notice period does not remove the requirement for the final payment.
11. Changes to This Policy
FCAD may update this policy from time to time to reflect changes to our services, systems or legal obligations.
Where significant changes are made, we will take reasonable steps to inform parents.
